Planning the full cost of a business laptop rollout

A laptop quote can look straightforward until you start planning the whole workplace. The useful comparison is the complete setup each person needs, plus the work required to put it into service.

Start with the work, not the model number

List the applications people use, the files they work with and whether they move between the office and home. Different roles may need different equipment. Agree on those requirements before comparing devices.

Include the equipment around the laptop

Consider monitors, docks, keyboards, mice, headsets, bags and any network adapters. Check which items you already have and whether they are compatible with the proposed setup. Ask for these items to appear separately in the quote.

Account for licences and configuration

Confirm the operating system and software licences included with each machine. Plan how user accounts, updates, security settings and existing files will be handled. Include the time needed to configure and hand over the equipment.

Plan beyond delivery day

Ask how warranty support works, who users should contact and how a faulty device will be handled. Think about continuity while a machine is being repaired, and record the equipment supplied to each person.

Compare complete quotes

Use the same list of requirements for each quote: devices and quantities, accessories, software, configuration, delivery and any ongoing support. Ask suppliers to identify exclusions and confirm availability. This makes differences easier to understand without relying on the laptop price alone.
